Purpose
- Step 1 in the 'Essential for Lodgement' flow is creating the lead/deal in BrokerEngine and sending your Credit Guide, Privacy Consent and Online Fact Find request so you can progress towards lodgement in ApplyOnline.

Step-by-Step Guide
Step 1 — Create New Lead
- Click New (top right) and enter a clear Lead Name (e.g., Smith — Purchase).

Set Broker of Deal to the correct adviser.
Why? This determines which integration settings are used (e.g., ApplyOnline credentials, e‑signature, lender settings). -
Add Applicants:
- Search first to avoid duplicates. If found, select the contact.
- If not found, click Add New Applicant and enter the basic details (you can enrich later).

Choose the initial Stage for the card to land in.
- Commonly New Lead.
- If you’ve already qualified the client, you may choose Collecting Documents.

Select a Lender.
- If undecided, keep Other (you can reassign later without issue).
- (Optional) Assign Deal Roles (e.g., Processor, Assistant) if certain team members will handle this deal.

Click Add Lead.
A lead card is created, and you’re taken to the Deal Details screen.
Step 2 — Send Credit Guide, Privacy Consent & Online Fact Find (via FinanceVault)
- At the top prompt, click Get started → Generate & send via Finance Vault.
- BrokerEngine will generate your Credit Guide and Privacy Consent.
- Build your request pack using your Document Stacks templates:
- Add the Online Fact Find (choose the appropriate template, e.g., PAYG, Self‑Employed).
- Use Request all, then remove any items not applicable to this client.
- Reorder items to suit your preferred flow.
- Confirm your pack includes:
- Credit Guide
- Privacy Consent
- Online Fact Find
- Any other requested documents
- Click Review request → Publish & Send.
What the client sees
- Each applicant receives a unique email with a secure portal link.
- They complete 2‑factor authentication (2FA) to access the portal.
- They’re shown Privacy Consent first and must agree to proceed.
- They then complete the Fact Find and upload any requested documents.
- You can preview their portal via Manage access → Preview.
Results
- Your compliance and onboarding requests are sent immediately after lead creation.
- Once returned, the Online Fact Find will populate ~90% of the data entry required for the next steps towards lodgement in ApplyOnline.
Tips & Good Practice
- Avoid duplicates: Always search for an applicant before adding a new contact.
- Undecided lender? Selecting Other is best practice early on. Update later once the recommendation is confirmed.
- Keep it light first: Enter only the minimum viable details at lead creation. You can enrich data after the Fact Find returns.
- Template hygiene: Maintain Document Stacks so the right PAYG/Self‑Employed Fact Find variant is easy to pick.
Troubleshooting
- Client didn’t receive the email → Ask them to check spam/junk. Confirm their email address in the deal. Resend from Finance Vault.
- 2FA issues → Clients can request a new code from the portal. Verify the email/phone on file if problems persist.
- Wrong Broker of Deal selected → Update Broker of Deal in the Deal Details before pushing to ApplyOnline.
- Missing templates → Your Document Stacks are fully configurable. See Finance Vault — Templates & Stacks for how to add/edit.
