Step-by-Step Guide
Follow these steps to link and sync contacts:
Step 1 — How It Works
- Automatic Search: Whenever a contact is created or updated in BrokerEngine, the system searches Flex for matching records.
- Linking Contacts: If a match is found, select and link the BrokerEngine contact to the existing Flex record. If no match is found, a new Flex ID is created instantly.
- Automatic Updates: Any changes made to a contact in BrokerEngine automatically push through to Flex.
- Marketing Integration: From the moment a client is created in BrokerEngine, the contact can be included in SMART Marketing campaigns in FLEX.
- Future-Ready: The feature prepares brokers for upcoming functionality that depends on Flex contacts (e.g., Equifax credit reporting).
Step 2 — Create a New Contact
- From the BrokerEngine homepage, create a new deal and add an applicant.
- When you click Create Contact, BrokerEngine searches Flex for potential matches.
- If matches are found, select the correct contact and click Link Flex ID.
- If no matches are found, select Create New Flex ID.
Warning: If you try to link without selecting a contact, an error message will appear.
If the system finds no possible matches, it will automatically create a new Flex ID for the contact.
Step 3 — Marketing Preferences
A checkbox option in the contact creation modal allows you to include or exclude the client from marketing communications. By default, the contact is unticked (included) until you opt out.
Step 4 — Update Contacts
Updates in BrokerEngine push automatically to Flex.
Note: This is a one-way push. Updates made in Flex do not push back to BrokerEngine.
Step 5 — Limitations
- One-Way Push: Updates flow from BrokerEngine → Flex only.
- Complete Address Required: Addresses must be fully completed for successful linking.
- Integration Dependencies: Suite360 must be integrated, and Flex permissions must be correctly assigned to admin staff.
