BrokerEngine now supports Companies and Trusts as applicants across the platform. You can create entity contacts, add them to deals, capture their details in the Fact Find, and carry that information through to the Credit Guide, Privacy Consent, Credit Proposal, Finance Vault and lodgement. This article walks through what has changed and how to use it.

Working with Companies and Trusts
Step 1 — Create Company, Trust and Servicing Guarantor Contacts
You can create a Company or Trust contact from anywhere you would normally create a Person contact. The New Contact modal now lets you choose Person, Company or Trust from the same place.
There are several entry points:
- From the sidebar menu — select Create > Contact, or Create > Deal and add the entity at the Applicants step.
- From within a deal — use Add new Applicants.
- From the Contacts page — select Create new Contact.
Servicing Guarantors and Security Guarantors
Guarantor roles are now clearly separated so the right data flows to the right place:
- Servicing and Security Guarantor (servicing guarantor) — use this where the guarantor supports both servicing and security, and needs to be included in the financial assessment.
- Security Guarantor — use this where the guarantor is providing security support only.
Note: Not all guarantors should be treated the same way. Separating these roles drives the correct behaviour in documents, servicing logic and compliance flows, and supports more accurate assessment outcomes.
Step 2 — Add Entity Applicants to a Deal
Once created, Company, Trust and Servicing Guarantor contacts are added as applicants using the same flow you already use for every other deal.
- When creating a new deal — add Company, Trust and Servicing Guarantor applicants directly from the Applicants step during deal setup.
- From within an existing deal — add or edit applicants at any time, so you can introduce new entity applicants or update guarantor roles as the deal progresses.
Step 3 — Capture Company and Trust Details in the Fact Find
The Fact Find captures the information required for Company and Trust applicants in a structured way, so entity details, related parties and income are recorded consistently and are available downstream for assessment, document generation and lodgement.
Company information
For Company applicants, the Fact Find captures company-specific information including key company details, contact information, and income details relevant to the application.
You can also capture the company role structure — the individuals or entities associated with the company. This may include roles such as Director, Beneficial Owner, Shareholder or other related company roles required to support the application.
Tip: Beneficial Owner roles can be changed by selecting the down arrow next to the role label — for example Beneficial Owner (Controller), Beneficial Owner (Shareholder) or Beneficial Owner (Other).
Trust information
For Trust applicants, the Fact Find captures trust-related information in the same structured format. This includes trust details, contact information, income information where applicable, and the key parties connected to the trust.
Trust role information can also be captured, including roles such as Trustee, Beneficiary and other related parties. This keeps the trust structure clearly represented and makes sure the correct information is available as the deal progresses.
Self-managed super funds (SMSF)
Note: For an SMSF, set the Trust Type to SMSF. This unlocks the SMSF Member details section, along with Member Contributions and SMSF Expenses.
Step 4 — Find Entities on the Contacts Page
Company and Trust records now appear directly in the Contacts area, so you can manage entity information without going through a deal.
- Contacts list view — the list now includes People, Companies and Trusts. To keep the view consistent across contact types, Company and Trust records are shown in a single column labelled Entity name.
- Search and filters — contact search and filters use this same Entity name field, so you can locate People, Companies and Trusts from one unified search input.
- Contact Details — the Contact Details page lets you capture and maintain Company and Trust contact information outside of an application.
Step 5 — Search for Companies and Trusts
Global search across BrokerEngine supports Company and Trust contacts. You can search for entity records the same way you search for People.
New Company and Trust icons appear in search results, so you can tell Company, Trust and Person records apart at a glance.
Step 6 — Set Ownership on Assets, Liabilities and Income
Ownership fields have been expanded so they reflect Company and Trust participation across the financial sections of the Fact Find.
- Assets can show ownership linked to Company, Trust and Person applicants.
- Liabilities can show ownership linked to Company, Trust and Person applicants.
- Income can show ownership or association linked to Company, Trust and Person applicants where relevant.
This gives a more complete picture of how financial items are held across all parties in the deal, not just individuals.
Step 7 — View Entities in Deals, Kanban and Search
Company and Trust data is visible across day-to-day deal management.
- Leads, Deals and Review boards display Company and Trust applicants.
- Kanban boards reflect Company and Trust entities as part of the deal view.
- Search and filtering lets you find records involving Companies and Trusts more easily.
This makes entity-based deals easier to identify, manage and work on without relying on manual naming conventions.
Compliance, Documents and Lodgement
Step 8 — Credit Guide and Privacy Consent
Credit Guide and Privacy Consent (CGPC) applies to Person applicants only. This includes individuals added as a Primary Applicant, Co-Borrower or Servicing Guarantor.
Company and Trust entities do not receive a Credit Guide or Privacy Consent, because these compliance obligations apply exclusively to natural persons.
Important: Where a deal includes a mix of entity and person applicants, CGPC is only triggered for the person applicants in that deal.
Step 9 — Finance Vault and the Client Fact Find
Finance Vault supports document capture for Person applicants, as it requires multi-factor authentication tied to an individual.
To make deal roles clearer, each person's role type is now displayed alongside their name — for example Primary Applicant, Co-Borrower or Servicing Guarantor.
Client Fact Find in Finance Vault
The Client Fact Find within Finance Vault captures Person applicant details only. Company and Trust data capture is not available in the Client Fact Find.
Warning: Complete all Company and Trust information in the Broker Fact Find so every entity-related detail is captured as part of the application.
Step 10 — The Applicant Widget in Deal Dash
The Applicant widget on the Deal Dashboard supports Company and Trust applicants. Entity applicants are displayed alongside Person applicants within the widget, giving you a consolidated view of everyone associated with the deal directly from the Deal Dashboard.
Step 11 — Credit Proposal, Serviceability and Lodgement
The Credit Proposal supports Company and Trust application types.
In some scenarios a Credit Proposal is not required, because the application does not fall under NCCP (National Consumer Credit Protection) regulations. In those cases the system will not generate a Credit Proposal.
The following scenarios determine whether a Credit Proposal is generated:
| Scenario | Company / Trust marked as Investment Only? | Person as Guarantor or Applicant? | Credit Proposal generated? |
|---|---|---|---|
| SMSF Trust | N/A | N/A | No — never generated |
| Company or Trust (non-SMSF) | No | No | No |
| Company or Trust (non-SMSF) | Yes | No | Yes |
| Company or Trust (non-SMSF) | No | Yes | Yes |
| Company or Trust (non-SMSF) | Yes | Yes | Yes |
Note: Where a Credit Proposal is not required, the Generate Credit Proposal button is greyed out and the Submission page displays the Credit Proposal document status as Not Applicable.
Serviceability and AFG HEM
For Company and Trust applications, the following applies:
- Lender Serviceability is not supported for Company and Trust applicants. The system will not generate a serviceability calculation for entity-based applications.
- Uploading the lender serviceability calculator is mandatory for Company and Trust deals. You need to attach the lender's own serviceability output as part of the submission process.
- AFG HEM (Household Expenditure Measure) is not required for Company and Trust deals, as HEM benchmarks apply to individual household expenditure and are not applicable to entity applicants.
Step 12 — Manage and Maintain Entity Deals
Everyday deal management tools all work with Company and Trust applicants.
- Deal cloning works as expected. When you clone a deal, existing Fact Find and deal data — including Company and Trust applicant information — is copied to the new deal.
- Contact Sync continues to sync contacts and assign Flex Contact IDs for all applicant types, including Company and Trust records.
- Importing contacts and deals supports Company and Trust records, so you can import when setting up in BrokerEngine for the first time or migrating from another system.
- Filtering and bulk editing of deals accommodates Company and Trust applicant types, so you can filter and manage entity-based deals alongside person-based deals.
- Fact Find Sync continues to be supported for Company and Trust data. This covers edge cases where you need to create an Opportunity in Flex, making sure C&T data captured in BrokerEngine syncs across as expected.
Note: New Company and Trust records created in BrokerEngine are created as a new contact in Flex.
