Prerequisites
Integrate your BrokerEngine account with your Suite360 account
This feature is limited to standard Privacy Consent and Credit Guides. Customised versions are not yet supported.
Every team member needs their own Suite360 access. If the broker has Suite360 but the currently logged-in team member does not, that team member will be unable to generate a Credit Guide on behalf of the broker.
Step 1 — Video Walkthrough
Step 2 — Generate a Request
Create or open the lead or deal you want to send the request through. Go to the top of the page and click the Get Started button.
A popup displays. Click the Generate and send via FinanceVault card. The FinanceVault page displays.

Warning: This functionality is only accessible on new deals created from the time of activating your FLEX and Suite360 integration. If the lead or deal was created before the integration was connected, the option may not be available.
Note: Alternatively, the same popup will appear if you click on FinanceVault to open the document request portal.
Step 3 — Send via FinanceVault
BrokerEngine creates two document requests ready to send: Privacy Consent and Credit Guide. Optionally, you can add additional files to your document request.
When you're ready to send, click Review Request, then Publish and Send to Client.

Step 4 — The Client's View
Your client receives an email invitation to open their FinanceVault portal. The client is asked to read and accept the Privacy Consent form, view the Credit Guide, and optionally upload any requested documents.

After clicking View Request, the client completes two-factor authentication. Then the FinanceVault portal loads with a privacy document and an I Agree button.

After clicking I Agree, the client can access and download the Privacy Consent, Credit Guide, and other document requests.

Step 5 — Receive Consent
After the client agrees, BrokerEngine displays a FinanceVault notification bell on the lead or deal card.
Click the notification bell to open FinanceVault. A green checkmark indicates compliance requirements have been met. Optionally, you can download either document.

Step 6 — Understand Document Status
Go to Applicant Details in the left sidebar to view document status:
Not Sent — The Privacy Consent and Credit Guide documents haven't been sent yet.
Pending — Documents have been sent but not yet accessed by the recipient.
Completed — Documents were received, viewed, and acknowledged by the client through the portal.
Step 7 — Activity Feed Notes
When documents are generated, transmitted, and acknowledged, the Recent Activity widget on the DealDash automatically logs details including the client's information, date, and time.
The feed shows: Generated, Published, and Acknowledged notes.
Step 8 — Compliance Audits and Deal History Report
These recorded notes play a pivotal role during compliance audits. They provide evidence of document generation, transmission, acknowledgment, and recipient details.
All notes are also captured in the Deal History Report, which is provided to AFG upon request. To generate it:
Open a lead/deal in full view mode.
Click the Reports tab on the right hand Toolbox.
Scroll down to 09. Deal History Report.
Select the PDF or Word icon to download.

Step 9 — Manual Alternative — Generic Document
Choose this option to download a blank document:
Click your account icon in the bottom left corner.
Click Settings → Integrations → Suite360.
Click the Download icon to download a blank Credit Guide & Privacy Consent file.
Step 10 — Manual Alternative — Personalised Document
Using the modal:
Open a lead/deal in full view mode.
Click the Get Started button.
In the popup, click Download a copy.

Using the More dropdown menu:
Open a lead/deal in full view mode.
Click the Three Dot dropdown menu.
Select Generate Credit Guide & Privacy Consent.
Choose Download the Personalised Document.
Step 11 — Upload Signed Documents
If a broker sent documents outside BrokerEngine and the client completed them externally, manually upload the signed documents:
Open a lead/deal in full view mode. Click the Not Required link at the top.
Click They have already been issued and signed.

Click the upload icon next to Privacy Consent and Credit Guide. Upload or drag the signed documents. Click Upload to finish.

Note: If multiple clients are associated with the deal, return to the client page and repeat the steps for the remaining clients.
