Learn how to find and use custom, coloured-coded tags, a handy tool to quickly filter cards on any of the four BrokerEngine boards (e.g. Leads, Deals, Maintenance, and Construction). You also able to use deal tags to trigger conditional workflows and checklist items.
Your custom tags are global. The tags you create on one board (e.g. Deals) can be used on any BrokerEngine board.

Locating the tags drop-down
Open a board and double-click a card. The card opens in full view mode. Go to the top of the page and click the Tags icon. A drop-down displays.

The top two tags (Flag as urgent and Flag as shared) are default options and cannot be changed. However, you can add a custom label to any of the other coloured tags.

Select a colour and click the pencil icon.

Enter a label.

Hit Enter on the keyboard. BrokerEngine auto-saves the tag label.
You can also create and apply tags on the sliding panel.
Applying a tag

Open a card (in full view mode or the sliding panel).

Click the Tags icon.

Click a colour.
BrokerEngine places a coloured bar in the top left corner of the card and adds a checkmark to the tag in the drop-down. Click a checkmark to remove that card tag.

Viewing tags
Card tags are visible on each board. Click a tag to see the label assigned to that colour.

You can also use tags to filter cards on a board.

Go to the top of a board and click the Filter icon.

Select one or more colours.
The board shows all the matching cards and collapses stages with no matching cards.
The filter uses an AND operator. A card must have all the colours you select. Otherwise, the match is false, and those cards are filtered out.

Using List display
If you switch the display to List format (click the icon in the top right corner), the page does not display coloured tags. However, you can still use the coloured tags to filter the rows.

Using Deal Tags for Conditional Workflows
Deal tags also act as customiseable 1-Click-Workflows. Through our workflow builder you can create workflows that will only trigger if you assign specific deal tags to the lead or deal card.
As an example, you may have a slightly different client onboarding experience for a brand new client. You can create and apply a 'New Client' deal tag to trigger a workflow for the steps you would like your team to take for a new client vs an existing client. Similarly, you can have conditional checklist items that will only appear if the deal tag is applied (see below)
- Locate the workflow builder by first clicking the account icon in the bottom left hand side of the screen
- Click Settings
- In the settings column, expand the Workflow section
- Next, click Workflow Templates. The workflow templates page displays listing your groups workflows.
- To edit an existing workflow click on the name of the template in the Template Name column, or
- To add a new template click on the + New button towards the top right of the screen.
7. Once editing or creating the workflow, expand the Trigger Conditions section.
8. Click the Deal Tag field and select the tags you would like to apply as a workflow condition.
9. Add the steps to the workflow and Save and Publish.
From the above example, the New Client Workflow will only trigger once a lead card moves into stage Initial Call Held > Get Docs AND the deal tag New Client is applied to the deal.
Ensure the deal tag is applied to the deal before moving the card into the workflow stage. The system will check for conditional workflows as soon as the lead or deal card is placed in a new stage. If the tag is applied after the stage move, the conditional workflow won't trigger.
If you've set up a New Client workflow, it's likely you will have a different workflow for your existing clients. To ensure that you don't trigger both workflows at the same time, you can either create an Existing Client tag and apply to the other workflow or, here's the short cut:
1. Within the workflow editor, expand Trigger Conditions
2. Select 'Do not trigger this workflow if the following conditions are met' from the drop down
3. Add your workflow steps
4. Save and Publish
You've now created a workflow that will trigger in every other scenario excluding if the New Client deal tag is applied to the lead. This avoids 2 contradicting workflows from triggering in the same stage and ensures all scenarios are covered.
Using Deal Tags for Conditional Checklist Items
Similar to using Deal Tags for conditional workflows, you can use deal tags to create conditional checklist items that will only appear if the specific deal tag is assigned to a lead or deal.
Following our former example of a New Client deal tag, you can edit your checklist template to include items that you only want to show as needing to be completed if the New Client deal tag is applied to the deal.
Unlike workflows, the moment you apply a deal tag that is connected to a checklist item condition, the checklist item will appear to be completed in the relevant checklists. You just need to ensure the deal tag is applied before the team will be completing the checklist so it's not missed.
7. In the Edit Item modal, add or edit the checklist item description.
8. Click the Always toggle to change it to When
9. Click the Deal Tag Is field and select the appropriate deal tag for the item. For our example, it's the New Client tag.
10. Click Save Changes
You have now created a checklist item that will only appear in the checklist to be completed if the selected deal tag is applied to the deal.
